Catalog Items are real-world instances of Master Items — for example:
Master Item: 6" SCH80 Steel Pipe
Catalog Item: 6" SCH80 Steel Pipe – 2023 Batch (Part# PRT-25-00012)
They inherit core attributes from their Master (like classification and UOM), but also track their own Fair Market Value, images, and availability.
Where to Start
From the Inventory Management Dashboard:
Click “New Catalog Entry” from the Quick Actions section.
Fill Out the Catalog Item Form
You'll see a form like this:
Required Fields
Field | Description |
---|---|
Master Item | Select the master template you want to base this on. |
Fair Market Value | Enter the current value of the item. This directly affects inventory value reporting and must be maintained accurately. |
Optional But Recommended Fields
Field | Description |
---|---|
Catalog Item Name | You can optionally override the default with something like Pump Seal Kit - Jan 2024 Purchase. |
Categories | Assign a category like Pumps, Tools, Valves, or Vehicles. |
Images | Upload up to 5 pictures to visually confirm condition, appearance, or model. |
Inherited Fields
Field | Source | Notes |
---|---|---|
Classification | Inherited from Master | Cannot be changed at this level |
Unit of Measure (UOM) | Inherited from Master | e.g., ea, box, set |
Refurbishable | Inherited from Master | Follows the master template’s rule |
⚠️ Important Note: Fair Market Value
The Fair Market Value of a catalog item must be kept up to date.
This value is used for:
Inventory valuation reports
Transaction impact calculations
Equipment depreciation tracking
Failing to update FMV could result in inaccurate inventory totals and compliance issues during audits.
Final Step
Click Add Catalog Item to finalize the entry. The item will now be available for transactions such as purchases, transfers, and refurbishments.
